This Privacy Statement explains how Freaque Systems collects, uses, stores, protects and handles information through the support portal, related websites, customer portals, support forms, enquiry forms and associated services.

This Privacy Statement is provided as general information for customers and users of the service. It is not legal advice and does not replace independent legal, regulatory, privacy or compliance advice relevant to your business, industry, contractual obligations or jurisdiction.

1. Information we collect

Freaque Systems may collect information that is reasonably necessary to operate, support, maintain, improve and administer the support portal and related services.

This may include business names, contact names, email addresses, phone numbers, company details, portal account details, user roles, tenant or business settings, support ticket details, notes, status updates, customer-submitted descriptions, site or location references, branding information, trial and subscription enquiry details, technical logs and information needed to provide support or prepare quotes.

If you submit an AV/IT support request, we may collect information about your technical environment, equipment, issue, site, meeting room, network, AV system, software, hardware or support requirements where supplied by you or reasonably needed to respond.

2. How information is collected

Information may be collected when you submit a support ticket, request a trial, contact Freaque Systems, create or manage a portal account, upload branding or settings, respond to email notifications, request AV/IT support, or otherwise interact with the website, portal or related services.

Some information may also be generated automatically when the service is used, including timestamps, authentication events, basic technical records and operational logs needed to operate and secure the service.

3. How we use information

Freaque Systems may use information to operate the portal, create and manage business accounts, process trial and subscription enquiries, provide setup and onboarding, send login links and service notifications, respond to support requests, manage AV/IT enquiries, prepare quotes, administer users and settings, troubleshoot issues, secure and improve the service, manage billing or account status, and comply with legal, accounting, tax, regulatory or operational obligations.

Submitting a ticket, enquiry or support request does not automatically mean the requested work is free. Freaque Systems may use the information provided to review the request, respond, provide guidance, discuss pricing, prepare a quote, arrange remote or onsite support, manage a project, or maintain a customer relationship.

4. Customer, business and tenant data

Businesses using the portal may enter customer, user, ticket, site, support and operational information into the system.

Customer-submitted business data, ticket content, customer details, user details, site information, support records and related service information remain the data of the relevant business or customer, subject to Freaque Systems' lawful right to operate, host, administer, support, secure and maintain the service.

Freaque Systems may access, process or handle this information where reasonably necessary to provide the service, support a customer or tenant, troubleshoot issues, maintain security, investigate misuse, assist with onboarding, comply with law, administer subscriptions or protect the service and its users.

5. No sale of personal information

Freaque Systems does not sell personal information and does not share customer information with third parties for their own marketing purposes.

6. Third-party service providers

Freaque Systems may use trusted third-party service providers where reasonably necessary to operate, host, secure, support, maintain or deliver the service. These may include providers for website and application hosting, database hosting, authentication, email delivery, domain and DNS services, cloud infrastructure, payment processing if added, monitoring or analytics if added, and professional, legal, accounting or technical services where required.

Information may be processed by trusted third-party service providers solely where reasonably necessary to operate, host, secure, maintain, support or deliver the service, or where disclosure is otherwise required or permitted by law. Freaque Systems does not share customer information with third parties for unrelated marketing use.

7. Data storage and security

Freaque Systems takes reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification or disclosure. Security measures may include authenticated access, role-based permissions, tenant or business separation, protected server-side configuration, secure hosting infrastructure, HTTPS access, database access controls, limited administrative access, service monitoring and careful handling of credentials and sensitive configuration.

No internet-connected system, database, email system or hosted service can be guaranteed to be completely secure. You use the service on the understanding that reasonable security measures are applied, but absolute security cannot be guaranteed.

8. User access and account security

Customers and businesses are responsible for managing their own authorised users, user roles, account access and the accuracy of information entered into the portal. You should ensure that only authorised personnel are given access and that user access is reviewed when staff, contractors or service providers change roles or leave your organisation.

If you believe an account, login link or portal has been accessed without authorisation, contact Freaque Systems as soon as possible.

9. Email notifications and magic links

The portal may use email to send login links, ticket notifications, status updates, support messages, trial reminders or account-related messages. You are responsible for ensuring that email addresses entered into the portal are correct and authorised to receive information about the relevant business, ticket or support request.

Email delivery can be affected by spam filters, provider restrictions, mailbox settings and third-party infrastructure. Freaque Systems cannot guarantee that every email will be delivered or read.

10. Access, correction and deletion requests

You may contact Freaque Systems to request access to personal information held about you, or to request correction of information that is inaccurate, out of date, incomplete or misleading. Where reasonable and lawful, Freaque Systems will assist with access, correction or deletion requests.

Some information may need to be retained for legitimate business, operational, accounting, security, legal, dispute resolution or service history reasons.

11. Data retention

Freaque Systems may retain information for as long as reasonably necessary to provide the service, manage accounts, maintain support history, comply with obligations, resolve disputes, enforce terms, protect the service or maintain business records.

If a customer cancels or stops using the service, Freaque Systems may retain certain records for a reasonable period, including ticket history, billing records, support records, account records, logs and information required for legal, security, operational or administrative purposes.

12. Legal disclosure and business transfers

Freaque Systems may disclose information where required or permitted by law, regulation, court order, government authority, legal process, professional advice, dispute resolution, debt recovery, security investigation or enforcement of service terms.

If Freaque Systems restructures, sells, transfers or merges part of its business or assets, information may be transferred as part of that transaction, provided the receiving party is required to handle information consistently with applicable privacy and confidentiality obligations.

13. Changes to this Privacy Statement

Freaque Systems may update this Privacy Statement from time to time. Updated versions may be published on the website or portal. Continued use of the service after an updated Privacy Statement is published may be treated as acceptance of the updated statement, where permitted by law.
